Instructions for Event Scheduling

Events are edited in the /_data/events.yaml file of the website. Each entry has the following fields:

  • status (mandatory): you can choose from the following:
    • confirmed: This event is confirmed and should be published in the PL calendar.
    • reserved: This time slot is reserved and shouldn’t be listed as available.
    • available: This time slot is available for talks.
    • cancelled: This time slot was scheduled but is not cancelled.
  • date (mandatory): the date of the event - please use the YYYY-MM-DD format.
  • time (mandatory) has two subfields: start and end. Make sure you but quotations marks around the values (so start: "12:00").
  • responsible: the PL member who is responsible for this time slot.
  • speaker: the speaker.
  • location (mandatory) has two subfields: building and room.
  • title: the title of the talk.
  • abstract: the abstract (will be published on the website).
  • category (mandatory): the type of event (e.g., Seminar, Reading Group, PhD Defense, MSc Defense).
  • tags: a list of tags (e.g., pizza).
  • notes: any notes for the group members to see.
